How to export your event data to stay organized?

Easily export your event meetings, schedule, and contacts to integrate them with your personal calendar and keep your connections organized.

Exporting your data from Swapcard ensures you stay organized, follow up with new contacts, and make the most of your event experience. Whether you're adding your agenda to your calendar or downloading connections post-event, this guide walks you through how to export your:

  • 👫 Contacts (including scanned badge contacts)

  • 📆 Schedule (sessions & meetings)

  • 🔖 Bookmarks (sessions, companies, and videos)

Each section below explains what the feature does, why exporting it is useful, and how to download your data in just a few clicks.

F.A.Q

Where is the export button? I can't find it on mobile.
Exporting contacts is available on the web app only, there's no download button in the mobile app. Open your event in a browser on a computer. See How to export my contacts below.

Does my calendar stay in sync with Swapcard?
No. Exporting your schedule creates a one-time snapshot (an .ICS file), there is no live, two-way calendar sync. If your sessions or meetings change afterwards, re-export to update your calendar. See How to export my schedule below.

Can I download the list of all attendees for the event?
No. For privacy reasons, you cannot download the full attendee list. You can only export your confirmed contacts. If you need broader attendee information, please contact the event organizer directly.

What are the privacy guidelines regarding attendee information?
Attendee data is protected under privacy regulations. Only contacts you've mutually connected with can be exported. Full lists are not shared, and organizers control any additional exports or analytics.

Can I get just the names and companies of the attendees?
No. You can only export the details of attendees you've connected with. Exporting names and companies of all attendees isn't possible without the organizer's permission.

Is it possible to share the attendee list with my colleagues so I know which of their contacts to greet?
The attendee list itself cannot be exported or shared. However, you can export your own contacts, and your colleagues can do the same from their accounts. To see all attendee data, reach out to the event organizer.

👫 How to export my contacts

What are Contacts in Swapcard?

Contacts are the people you've connected with during an event, either by accepting a connection request, scanning a badge, or interacting through networking features. This list is separate from your overall networking activity and includes confirmed relationships.

Why export your contacts?

  • 📨 Easily follow up after the event

  • 🤝 Keep a record of professional connections

  • 📁 Import contact details into your CRM or email platform

How to export contacts (web app only):

  1. Log into your event using the web app

  2. Click your profile icon at the top-right

  3. Select My contacts

  4. Scroll to Export my contacts and click Download

An Excel file (.xlsx) with all your confirmed contacts and their information will download to your device.

💻 Contact export is on the web app only. There's no download button in the mobile app — open your event in a browser on a computer to export. If you're on your phone and only need one person's details, open their contact card and save it from there instead.

Scanned badge contacts are included. Any attendee badges you scanned yourself appear in My contacts and are part of this export. If you're an exhibitor and need your booth team's shared leads, export those from the Exhibitor Center instead — see How do you follow up on event contacts as a team? and How to use Lead Capture to collect and process leads.

Why are some fields blank? Your export only includes people you're mutually connected with, and each contact's details are only as complete as what that person added to their profile — if someone left a field (phone, company, etc.) empty, it will be blank in your file. That's expected, not a bug.

What about contacts from other events?

If you've attended several events using the same account, all your connections remain available under My contacts.

You can:

  • View and manage contacts across events

  • Switch between booth chats if you're part of multiple exhibitor teams

✨ My contacts shows your exported network. My networking gives a full attendee view (connected and pending).

📊 Attendee list for a specific session

Please note that exhibitors and speakers do not have direct access to attendee lists for specific sessions. If you'd like to obtain this data, you must contact the event organizer, who can provide it via analytics tools available to them. This request cannot be fulfilled directly through the app or platform.

📆 How to export my schedule

What is My Schedule?

Your Schedule includes sessions you've registered for and meetings you've confirmed. It helps you stay organized during the event and ensures you never miss an important activity.

Why export your schedule?

  • 📅 Add your sessions and meetings to your personal or work calendar

  • 🕒 Get reminders from your own calendar app

  • 📄 Keep an offline or printable copy

How to export your schedule:

  1. On the web app, go to My schedule from your profile.

  2. Click Export to your calendar — this downloads an .ICS file.

  3. Open (or import) that .ICS file into Google Calendar, Outlook, or Apple Calendar to add all your sessions and meetings at once.

🔁 It's a one-time export, not a live sync. The .ICS file is a snapshot of your schedule at the moment you download it. There is no two-way calendar sync: if you later add, move, or cancel a session or meeting in Swapcard, your calendar won't update automatically, and changes in your calendar won't flow back to Swapcard. If your schedule changes, simply export again and re-import.

Getting reminders for your sessions

There are two ways to be reminded:

  • From your calendar, once you've imported the .ICS file, your calendar app's normal alerts will remind you before each session or meeting.

  • From Swapcard, the app can send session and meeting reminders through notifications. Check your notification preferences in Settings (and allow notifications for the Swapcard app on your phone).

Printing your schedule

Swapcard doesn't have a dedicated "print agenda" button, but you have two easy options:

  • Import the .ICS file into your calendar, then print the day or week from there.

  • Open My schedule in your web browser and use your browser's print (Ctrl+P / Cmd+P) to save a PDF or paper copy.

💡 Sessions missing from your schedule? Bookmarking a session isn't always the same as registering for it. See How can I plan and engage in event sessions? to make sure your sessions are actually added.

Exporting your event data and contacts ensures you stay organized and on top of your schedule throughout the event. Whether you are adding your agenda to your calendar or downloading contacts for post-event follow-up, our platform makes it easy to integrate event activities with your personal tools. Stay efficient, keep your connections handy, and never miss an important meeting!
