Introduction

For exhibitors using Swapcard, integrating your lead generation data with HubSpot via Zapier can significantly enhance your lead management process. This guide outlines the necessary steps to establish this connection.

Setting Up the Integration

1. Zapier

1.1 Sign Up or Log In to Zapier

Zapier, a premier automation tool, requires registration to access its features. Enhance your integration skills by visiting the Zapier Learning Center.

Post-registration, proceed to create your initial Zap.

1.2 Create Your First Zap

After registration, begin by creating a Zap.

  1. Navigate to Create -> Zaps at the top left corner.

  1. Set Swapcard Exhibitor as the trigger app.

Configure a trigger by selecting Swapcard Exhibitor from the list.

Choose New Connection (Trigger when a new connection (Lead) as your Event Trigger and click Continue.

Click on Sign in.

You'll be prompted to input your API key, which is located in the Exhibitor Booth section of your Swapcard account, detailed below in Section 2.

2. Setting Up in Swapcard

Continue the setup by generating an API key on Swapcard. Follow these steps:

2.1 Access Your Exhibitor Booth

Go to the Exhibitor Center platform and select your exhibition booth.

2.2 Generate an API Key

Navigate to the API Keys section under the Leads submenu.

If this option is unavailable, contact your event organizer.

Click Create Key.

Name your key and click Create key.

Copy the generated key for use in Zapier.

3. Continue Configuring the Trigger on Zapier

With the API key in place, finalize the trigger setup.

Select the Exhibitor from the dropdown and click Continue.

Test the trigger by clicking Test Trigger.

Choose a record for testing and proceed by clicking Continue with selected record.

4. Configuring Actions

Configure actions by selecting Action and then choosing the app to integrate, such as HubSpot.

4.1. Example Set Up the HubSpot Action in Zapier

Select HubSpot as the Action and choose the action you wish to perform.

Select the HubSpot account to connect. and click Continue.
Select for example Create Contact and click Continue.

Select the fields you wish to map from Swapcard to HubSpot and click Continue.
Example : First Name, Last Name, Email, Company, Job Title, Phone Number.

Click Continue to verify the connection.

Then Publish your Zap.

Well done! Your Zap is now active and will automatically create contacts in HubSpot when new leads are generated in Swapcard.

Final Thoughts

Monitor both Swapcard and Zapier regularly for updates and errors to ensure seamless data flow and functionality. Adjust your setups as needed to accommodate any changes in event structure or data requirements.
