Connecting with exhibitors at an event is a crucial step in building meaningful relationships with industry professionals who can offer valuable products, services, or partnerships. These connections can lead to insightful conversations, collaborations, and potential business opportunities. In this guide, we’ll walk you through the process of establishing connections with exhibitors, sending meeting requests, and setting up video calls.

🚫 Feature Access Restrictions

Access to exhibitor connections is at the discretion of the event organizer. If you wish to connect with exhibitors, please reach out to the organizer for permission.

How to message exhibitors?

  • Navigate to the Exhibitor's page: Go to the event’s Exhibitor section to access a list of all participating exhibitors and their team members.

  • Send a message: Locate the exhibitor you want to connect with and click on Write a message to initiate a conversation directly.


How to send a meeting request to an exhibitor member?

  • Locate the team section:In the Exhibitor's profile, look for the Team section. Here, you can view all the members associated with the exhibitor. This section is crucial as it allows you to identify and connect with the most relevant individuals for your needs.

  • Send a connection request: Select the person you wish to connect with and click the Connect button. This action initiates a direct connection with the exhibitor member, enabling you to engage in more personalized interactions.

  • Send a message: While you can send a message to an Exhibitor as a company, connection requests are sent to individual members. This allows you to establish a more personal connection with the team members who can best assist you.


How can I video call an Exhibitor?

Sometimes, you may want to engage directly with an exhibitor without the need for a formal meeting setup. Our platform allows you to initiate video calls with exhibitors directly, facilitating spontaneous and valuable interactions.

If the available time slots don't match your schedule or you want to meet up with an Exhibitor in a different time, you could manually request a meeting.

  • To set up a video call with an Exhibitor, go to the Exhibitor Booth and request a call through the “Talk to the Exhibitor” chat feature.

  • Wait until the exhibitor sees the request. It is important to note that only an exhibitor can start the video call.

  • To join the call, you will have to check your conversations by selecting the Chat Icon in the top right corner. Then click on join the call once the Exhibitor has launched it.

Note: Only the Exhibitor can start the Video Call.

When you are using the video call feature for the first time on Swapcard, a pop-up should appear asking for permission to use your camera and microphone.


Best practices for connecting with Exhibitors

  • Personalize your message: When reaching out, tailor your message to express genuine interest in their offerings.

  • Plan ahead: Look at the exhibitor list before the event and identify those you want to connect with.

  • Follow up: After meeting, follow up with exhibitors to continue the conversation and explore potential opportunities.
